Sports Travel Experiences

Version 1.0, effective 1 September 2026

Key Terms Summary

Please read these points carefully. They affect your rights, and by booking you confirm you have read and accept them.

  1. No change of mind refunds. Once confirmed, your booking is final. If you can’t travel, you can transfer your booking to another person for a fee (clause 7).
  2. Official match tickets are only sold as part of a travel package. They are not refundable under the tournament’s own rules. They can’t be resold, and they are given to you on arrival.
  3. Full payment at booking. Your booking is only confirmed once you’ve paid in full (clause 6).
  4. Travel insurance is compulsory. You must hold travel insurance that covers cancellation, medical costs and personal liability (clause 15).
  5. We act as an agent for travel suppliers, and our liability is limited as set out in clause 17.
  6. Rest of World only. We can’t accept bookings from residents of Australia or New Zealand (clause 3).
  7. South African residents who book as a result of our direct marketing can cancel within 5 business days for a full refund (clause 8).

Nothing in these terms removes any right you have under a consumer law that applies to you and can’t be excluded, including the South African Consumer Protection Act and the Australian Consumer Law.

1. About these terms

1.1 These Booking Terms, the Key Terms Summary, your booking confirmation and our Privacy Policy form the whole agreement between you and us.

1.2 You accept these terms by ticking the acceptance box when you book, by signing a booking form, or by paying for a booking. You confirm you have read them, including the Key Terms Summary.

1.3 The version in force on the date of your booking confirmation applies to your booking.

2. Who we are and our role

2.1 Sports Travel Experiences (Sports Travel Experiences Pty Ltd, ABN 94 127 481 654) (“STE”, “we”, “us”) is a business registered in Australia. Our address is [address]. Our email is info@sportstravelexperiences.com.

2.2 STE is an Official Travel Partner of Men’s Rugby World Cup Australia 2027.

2.3 We arrange travel services provided by third party suppliers, such as hotels, transport operators and the tournament’s ticketing providers. We act as agent for these suppliers. Their own terms also apply to the services they provide, and we will give you those terms on request.

3. Who can book

3.1 Our packages are sold to residents of countries other than Australia and New Zealand. If we find a booking has been made by a resident of Australia or New Zealand, we may cancel it and refund everything you’ve paid.

3.2 The person who makes the booking (the “lead booker”) must be 18 or older. The lead booker is responsible for payment and for making sure every traveller in the booking accepts these terms.

3.3 Travel agents booking for their clients (“sub agents”) accept these terms on their clients’ behalf and must pass them on.

4. Quotes and bookings

4.1 A quote is not an offer. It’s valid for 24 hours and depends on availability when you book.

4.2 A binding contract is formed when we send your written booking confirmation. We only send it once we’ve received your acceptance of these terms and full payment.

4.3 Please check your booking confirmation carefully. Tell us about any errors within 48 hours.

5. Prices

5.1 Prices are in Australian dollars (AUD), per person, based on two people sharing a room unless stated otherwise. They include GST where it applies.

5.2 Once your booking is confirmed, we won’t increase the price, except for increases in government taxes or charges we can’t control. In that case, we’ll tell you before charging you.

5.3 Prices only include what’s listed in your package. For example, they don’t include international flights, visas, meals and drinks not stated, or personal expenses.

5.4 Match tickets may show a face value lower than the price of your package. You are not entitled to a refund of the difference.

6. Payment

6.1 Full payment is due when you book. Your booking is only confirmed once we’ve received payment in full.

6.2 You pay any bank charges, card fees or currency conversion costs.

6.3 Travel documents are only issued once we have all traveller details.

7. Transferring your booking

7.1 If you can’t travel, you can transfer your booking, or one traveller’s place in it, to another person.

7.2 Transfer requests must be made in writing to info@sportstravelexperiences.com at least [30] days before your package starts.

7.3 Every transfer depends on written consent from Men’s Rugby World Cup 2027, which the tournament requires for any change of ticket holder, and on our suppliers accepting the name change. We’ll request these for you, but we can’t guarantee them.

7.4 A transfer fee of AUD 100 (excluding GST) applies per traveller, plus any supplier charges.

7.5 The transfer is only complete when the new traveller has accepted these terms and given us their details. Until then, the original lead booker stays responsible for the booking.

7.6 You must not sell, advertise or transfer a booking or match ticket in any other way. Tickets bought in a travel package can’t be resold on the tournament’s resale platform. Tickets transferred outside this process may be cancelled by the tournament without refund.

8. If you cancel

8.1 Because official match tickets are not refundable, all bookings are final once confirmed. If you cancel and don’t transfer your booking, no refund is payable.

8.2 Cooling off for South African residents: if you live in South Africa and made your booking as a result of our direct marketing, you may cancel in writing within 5 business days of the booking for a full refund, which we’ll pay within 14 business days.

8.3 Cancellations must be sent in writing to info@sportstravelexperiences.com and take effect on the date we acknowledge them.

8.4 If you don’t arrive, arrive late or leave early, no refund is payable for services you don’t use.

9. Changes you ask for

9.1 Changes other than transfers, such as extra nights or room changes, depend on availability.

9.2 Within 90 days of your package start date, a fee of AUD 100 (excluding GST) applies to each change, plus any supplier charges and any difference in price.

9.3 If a change is substantial, we may treat it as a cancellation and a new booking.

10. Match tickets

10.1 Official match tickets are supplied under the tournament’s Ticket Terms and Conditions, which every ticket holder must follow. These include the stadium’s rules for entry and conduct.

10.2 Your booking confirmation is not a match ticket and can’t be used for stadium entry. Your STE host will give you your official match tickets on arrival. You may need to show photo ID to collect them.

10.3 Ticket categories are as described in your package. The tournament allocates seats within each category, and we can’t guarantee particular seats or seating together unless we’ve confirmed it in writing.

10.4 Tickets can’t be reprinted. If a ticket is lost or stolen after we’ve given it to you, you must buy a replacement at your own cost, if one is available.

10.5 Everyone attending a match needs their own ticket, whatever their age.

11. If the tournament changes a match

11.1 Match cancelled: We’ll pass on the ticket refund the tournament gives us as soon as we receive it. We’ll also refund any other part of your package we haven’t provided and can recover from our suppliers.

11.2 Match rescheduled or moved: Your ticket stays valid. If the tournament offers a refund and you choose to take it, we’ll pass it on. We’ll try to move your accommodation and transfers, and you’ll pay any extra cost.

11.3 Match played behind closed doors or with limited crowds: Where the tournament refunds tickets, we’ll pass that refund on, plus a refund of any package components we haven’t provided.

11.4 Match delayed or interrupted: The tournament gives no refund in these cases, and neither do we.

11.5 We aren’t responsible for costs you arranged yourself, such as flights, visas or extra nights.

12. Changes or cancellation by us

12.1 We may need to change parts of your package, for example by substituting a hotel of similar standard. If a change is significant, we’ll tell you as soon as we can.

12.2 If we cancel your package, or can’t provide a significant part of it, you can choose a comparable alternative or a refund of the affected parts, paid within 14 business days.

13. Accommodation, transport and flights

13.1 Accommodation is based on two people sharing a twin or double room unless stated otherwise. Room types and bed configurations depend on the hotel.

13.2 We need every traveller’s name by the date we give you. Late name changes may incur supplier charges.

13.3 Transport may be by coach, minibus, car or public transport, depending on group size.

13.4 International flights aren’t included unless your booking confirmation says so. If we arrange flights for you, the airline’s terms and fares apply. Fares can only be confirmed once the airline has been paid.

14. Children

14.1 Travellers under 18 must travel with a parent or guardian who is responsible for them at all times.

14.2 Travellers aged 12 and over pay the full adult price. Any reduction for children under 12 sharing a room with two adults depends on the hotel.

15. Travel documents, health and insurance

15.1 You’re responsible for holding a valid passport, the right visa or electronic travel authority for Australia, and meeting any health requirements. Your passport should be valid for at least 6 months after you travel.

15.2 We aren’t responsible if you’re refused boarding or entry because of your documents.

15.3 Travel insurance is compulsory. Every traveller must hold insurance that covers cancellation, curtailment, medical costs, repatriation and personal liability for the whole trip. Travel insurance is not included in our packages.

15.4 You’re responsible for making sure you’re fit to travel and take part in the package.

16. Your conduct

16.1 You must follow the law, the tournament’s Ticket Terms and Conditions, stadium rules and our reasonable instructions while travelling.

16.2 If your behaviour puts others at risk, causes damage or disrupts the group, or if you carry anything illegal, we may remove you from the package. No refund is payable, and you’ll pay any costs this causes.

17. Our liability

17.1 We’ll provide our services with due care and skill. We’re not responsible for the acts or omissions of independent suppliers, but we’ll help you resolve any problem with them.

17.2 To the extent the law allows, our total liability to you is limited to the price you paid for your booking, and we aren’t liable for indirect or consequential loss.

17.3 Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that can’t be limited by law.

18. Events beyond our control

Neither party is liable for failing to perform because of events beyond its reasonable control. These include natural disasters, pandemics, government orders, war, terrorism, civil unrest and industrial action. If we can’t deliver your package at all for these reasons, we’ll offer an alternative or credit where we can. Otherwise, we’ll refund what we paid, less any costs our suppliers won’t return to us.

19. Complaints and disputes

19.1 If something goes wrong during your trip, tell your STE host straight away so we can try to fix it.

19.2 Send any complaint in writing to info@sportstravelexperiences.com. We’ll acknowledge it within 5 business days and aim to resolve it within 15 business days.

19.3 If we can’t agree, either party may refer the dispute to mediation before starting court proceedings.

19.4 South African residents may also contact the National Consumer Commission or the Consumer Goods and Services Ombud. Customers elsewhere may contact the consumer protection authority where they live.

20. Governing law

20.1 These terms are governed by the laws of Queensland, Australia, and the courts of Queensland have jurisdiction.

20.2 This doesn’t take away any mandatory right you have to rely on the consumer laws of the country where you live or to bring proceedings there. South African residents keep all their rights under the Consumer Protection Act and POPIA.

21. General

21.1 If any part of these terms is found to be unenforceable, the rest still applies.

21.2 If we don’t enforce a right straight away, we haven’t given it up.

21.3 These terms are written in English. If they are translated, the English version applies.

21.4 We handle your personal information under our Privacy Policy.
